WHO WE ARE
Ai4U Consulting Pty Ltd (ABN 71 699 657 586) builds AI and automation systems for Australian small and medium businesses. We operate from Northmead, New South Wales.

WHAT THIS POLICY COVERS
How we collect, use, store and disclose personal information, and how you can access or correct it.
We currently fall below the $3 million turnover threshold in section 6D of the Privacy Act 1988 (Cth). We apply the Australian Privacy Principles as a matter of practice regardless, and we are bound by them in full whenever we handle health information or otherwise fall within an exception to that threshold.

Your IP address, used only to rate-limit our forms against automated abuse
When you engage us for work, we may also collect information necessary to deliver it - billing details, system access credentials, and whatever business data the engagement requires.
On behalf of our clients. Some systems we build, such as AI phone receptionists, collect information about our clients’ own customers - typically a name, phone number and the reason for their call. In that situation our client is responsible for that information and we handle it on their instructions, under a written agreement. We do not use it for our own purposes.

Directly from you, through our website forms, by phone, or by email. We do not buy personal information, and we do not scrape it.

We do not sell personal information, and we do not disclose it for anyone else’s marketing.
WHO WE SHARE IT WITH
We use third-party services to run our business. Each receives only what it needs:
HubSpot - customer records and enquiries - held in the United States
Resend - sending email - held in the United States
Vercel - running our website services - held in Sydney, Australia
Upstash - short-lived technical data, including abuse prevention - held in the Asia-Pacific region
Telnyx - SMS and voice, where used - held in the United States
Google Workspace - email and calendar - held in the United States
Some of these store information overseas, which means it may be handled outside Australia and subject to the laws of those countries. We choose providers that offer recognised contractual protections, but we cannot guarantee a foreign provider will be bound by the Australian Privacy Principles.
We may also disclose information where the law requires it.
DIRECT MARKETING
We will only send you marketing if you have asked for it or would reasonably expect it from your dealings with us. Every such message carries an unsubscribe option, and you can opt out at any time by emailing us.
HOW WE PROTECT IT
Credentials are held in managed secret stores, never in our source code. Access to client systems is limited to what an engagement requires and withdrawn when it ends. Our web endpoints are rate-limited and validated server-side.
No system is perfectly secure. If a data breach occurs that is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner where required.
HOW LONG WE KEEP IT
Enquiries that do not become engagements: two years, then deleted.
Client records: seven years after the engagement ends, as tax and corporate record-keeping obligations require.
Rate-limiting data: automatically deleted within an hour.
ACCESSING OR CORRECTING YOUR INFORMATION
Email info@ai4uconsulting.com.au and we will respond within 30 days. We will confirm your identity first. There is no charge for a reasonable request. If we refuse access we will explain why in writing.
To have your information deleted, ask us. We will delete it unless we are required to keep it.
COOKIES
Our site is built on Framer and uses only what is necessary to serve the pages and remember basic preferences. We do not run advertising trackers. Your browser can block cookies, though parts of the site may then not work.
COMPLAINTS
Email info@ai4uconsulting.com.au with “Privacy complaint” in the subject. We will acknowledge within 5 business days and respond substantively within 30 days.
If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
CHANGES
We will post any changes to this page and update the date above. Material changes will be notified directly to current clients.
